User Manual

Introduction

The PRAYOJN tool for Resource Allocation and Optimization for Healthcare Facilities is a comprehensive web-based tool, based on WHO devised WISN (Workload Indicator Staffing Need, a Healthcare HR tool) model, designed to streamline and enhance the process of calculating and optimizing healthcare workforce requirements within various hospital departments. The platform facilitates data-driven decision-making by allowing users to input specific departmental data, such as department names (e.g., pharmacy, diagnostic lab, nursing station, OPD, IPD, general surgery, etc.), type of employees (e.g., doctors, nurses, technicians), workdays per year, work hours per day, and current staff strength in Full-Time Equivalents (FTE).

PRAYOJN offers a suite of calculators to accurately determine the available work hours per year, assess the principal task staff requirements, and compute the Category Allowance Factor (CAF) and Individual Allowance Factor (IAF). These tools are essential for understanding the staffing needs for various tasks, including both clinical and non-clinical activities within a department. By considering the number of different tasks and ancillary responsibilities, PRAYOJN enables healthcare administrators to generate precise staffing requirements that align with the Workload Indicators of Staffing Need (WISN) methodology.

The platform's user-friendly interface guides users through each step, from inputting departmental data to generating forms and calculating key metrics. "If a single Fulltime employee works in 8 hr shift and takes 1 hr break for tiffin, his/her work-hours/day = 7"

"i.e 8 min/patient's phlebotomy, 10 min/ sample transport trip, 15 min/patient for IP collection"

"Actual workload/day i.e 510 OP phlebotomy patients/ day, 24 sample trips/ day, 60 test-record entry/ day"
